How Kirtnix collects, uses and protects your data

This Privacy Policy explains what information Kirtnix gathers when you browse our website, request a proposal or use one of our products, and how that information is stored, shared and deleted.

1. Scope of this policy

This policy applies to the Kirtnix website, to every enquiry channel we operate (forms, email, phone and WhatsApp) and to the products and services we deliver to clients. Kirtnix delivers website development, e-commerce development, mobile app development, SEO, digital marketing, branding, AI automation, custom software development, Kirtnix Tracker, the KXtick WhatsApp Business API and Meta agency ad account provisioning.

By using our website or engaging Kirtnix for a project, you agree to the practices described here. If any part of this policy is unacceptable to you, please do not submit personal information to us.

2. Information we collect

We keep data collection deliberately narrow and purpose-bound. Depending on how you interact with us, we may collect:

  • Identity and contact details you submit voluntarily — name, business name, phone number, email address and the message content of an enquiry.
  • Project information shared during onboarding, such as brand assets, product catalogues, ad account identifiers, domain access and technical requirements.
  • Usage data generated automatically when you browse — pages viewed, referring source, approximate region, device type and browser version.
  • Campaign and conversion data processed through Kirtnix Tracker, including click identifiers, landing page events and Telegram join signals attributable to an advertising campaign.
  • Messaging metadata processed through the KXtick WhatsApp Business API on behalf of a client, such as delivery status, template identifiers and opt-in records.
  • Billing details required to raise an invoice. Kirtnix does not store full card numbers; payments are handled by regulated payment processors.

3. How we use your information

  • To respond to enquiries, prepare scopes of work and share proposals or pricing.
  • To deliver the services you have contracted — building, deploying, maintaining and supporting your website, app, automation or campaign.
  • To operate product features such as tracking dashboards, analytics reports, broadcasts and automated conversations.
  • To raise invoices, maintain accounting records and comply with Indian tax obligations.
  • To improve our own website, service quality and internal reporting using aggregated, non-identifying data.
  • To send project updates and, where you have opted in, occasional service announcements. Marketing consent can be withdrawn at any time.

4. Data we process on behalf of clients

When you engage Kirtnix, we frequently act as a processor rather than an owner of data. Customer records inside a CRM we build, subscriber lists loaded into KXtick, and conversion events captured by Kirtnix Tracker remain the property of the client.

We process that data only on documented instruction, only for the duration of the engagement, and we do not sell it, rent it or reuse it for any other client. Clients remain responsible for obtaining lawful consent from their own end users, particularly for WhatsApp opt-ins and remarketing audiences.

5. Sharing and third parties

We do not sell personal data. We share information only where it is necessary to run the service you asked for:

  • Infrastructure and hosting providers that store your website, application or database.
  • Advertising and messaging platforms — including Meta, Google, TikTok, Snapchat, Bing and WhatsApp — when a campaign or API integration requires it.
  • Analytics and error-monitoring tools used to keep delivered products stable.
  • Payment gateways and our accountants for invoicing and statutory filings.
  • Government or regulatory bodies where disclosure is required by applicable law.

6. Cookies and tracking technologies

Our website uses a small number of cookies and similar identifiers to remember your theme preference, understand traffic patterns and measure the performance of our own campaigns. You can block or delete cookies from your browser settings; core pages will continue to work, but some preferences will reset on each visit.

Products we build for clients may use additional measurement tags. Those are governed by the client's own privacy notice.

7. Security measures

  • Encrypted transport (HTTPS/TLS) across our website and delivered applications.
  • Role-based access so team members only reach the accounts required for their work.
  • Credential handling through managed secret stores rather than shared documents.
  • Routine dependency updates and review of the code we ship.

No system can be guaranteed impenetrable. If a security incident affects your data, we will investigate promptly and notify affected clients without undue delay.

8. Data retention

Enquiry records are kept for as long as needed to evaluate the opportunity and for a reasonable follow-up period afterwards. Project data is retained for the term of the engagement plus a short archival window so that we can support handover and warranty requests. Invoices and tax records are retained for the period required under Indian law. Once a retention period ends, data is deleted or irreversibly anonymised.

9. Your rights

  • Request a copy of the personal information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Request deletion of your data where no legal or contractual obligation requires us to keep it.
  • Withdraw consent for marketing communication at any time.
  • Request that we stop processing your data in a specific way, subject to our contractual duties.

10. Children's data

Kirtnix provides business-to-business services and does not knowingly collect information from anyone under the age of 18. If you believe a minor has submitted data to us, contact us and we will remove it.

11. Changes to this policy

We may revise this policy as our services evolve or as regulation changes. The revision date at the top of this page always reflects the current version, and continued use of our website after an update constitutes acceptance of it.
